Notion
A shared wiki for SOPs and notes, with AI that can summarize and search it.
Overview
Notion is a team wiki: processes, meeting notes, and internal docs in one place. Notion AI can summarize notes and answer questions from what’s already in the workspace. That only helps if people actually keep the workspace current. Don’t adopt Notion just to get AI — ChatGPT or Claude is faster if you will not live in Notion day to day. AI packaging and pricing have changed, so check current plans rather than assuming an old add-on price.
Best for
- Teams already organized in Notion, or willing to be
- SOPs, wikis, and meeting notes that need a home
- Asking questions across your own internal docs
Setup guide
Practical steps for a non-technical owner. Setup difficulty: Intermediate.
- Create a workspace and invite only the people who will actually write in it.
- Add one real SOP and one meeting-notes page before you turn on any AI features.
- Agree on a simple folder layout (for example: How we work / Meetings / Projects).
- Try a summary of a real meeting note, then try asking a question you know the SOP answers.
- Keep ChatGPT or Claude for one-off writing. Use Notion AI only on content that already lives in Notion.
Pros & Cons
Pros
- One place for SOPs, notes, and internal docs
- AI summaries and workspace Q&A help once the docs exist
- Free plan is enough to test whether the team will actually use it
Cons
- Don’t adopt Notion only for AI — ChatGPT or Claude is faster if you won’t live there
- Empty or messy workspaces make AI answers worse, not better
- AI packaging has shifted; don’t budget from old “AI add-on” prices
Reviews / user feedback
Teams that already take notes in Notion like the summaries. Teams that won’t maintain docs see little value.
Honest placeholder — not a verified customer quote
Buying Notion just for AI is a common miss. A writing tool plus a shared Google Doc is often enough.
